Application of the terms and conditions

These terms and conditions apply to all reservations and stays with Arp-Hansen Hotel Group A/S, unless otherwise expressly agreed in writing between the parties.

Reservation

A reservation is binding on both parties once a written confirmation has been issued by Arp-Hansen Hotel Group A/S (hereinafter referred to as the “Hostel”). When booking via the Hostel’s website or booking system, a booking confirmation is automatically sent by e-mail, upon which the agreement becomes binding.

The cancellation and payment terms depend on the selected offer and are stated during the booking process and in the subsequent booking confirmation.

Non-Flexible Booking

For non-flexible bookings, the full amount is payable at the time of booking, and the booking cannot be amended, cancelled, or refunded. The price includes VAT and applicable taxes. In the event of no-show or cancellation, the full amount will be charged.

For group bookings of 36 persons or more, special terms may apply, and the Hostel reserves the right to amend or cancel such bookings – including after confirmation.

Flexible Booking

Flexible bookings may be cancelled free of charge up to three (3) days prior to arrival (Danish time). After this deadline, the booking is binding and non-refundable. Flexible bookings cannot be amended – only cancelled.

Payment is automatically charged three (3) days prior to arrival. If payment cannot be processed, the Hostel will contact the guest regarding alternative payment options. The booking is only finally confirmed upon receipt of payment.

For group bookings of 36 persons or more, special terms may apply, and the Hostel reserves the right to amend or cancel such bookings.

Financial Liability for Special Expenses

If the Hostel has incurred extraordinary expenses specifically related to your reservation (e.g., external services or prepaid services), the Hostel reserves the right to claim reimbursement thereof – including in the event of amendment or cancellation.

Cancellation of Flexible Booking

Cancellation must be made no later than three (3) days prior to arrival (Danish time) via:

  1. Confirmation e-mail → “Manage reservation”
  2. Scroll to “Cancellation” → “More info”
  3. Click “Cancel reservation” and confirm.

In case of technical issues, the Hostel must be contacted no later than three (3) days prior to arrival at: reservations@nexthousecopenhagen.com.

Reservations Made Through Third Parties

For reservations made through third-party providers or online travel agencies, amendments and cancellations must be handled directly with the relevant provider. The Hostel cannot amend or cancel such reservations.

Prices and Payment

All prices are stated in Danish kroner (DKK) and include VAT unless otherwise specified. Prices are dynamic and depend on date, demand, and availability. The price is only guaranteed once the booking confirmation has been received.

The Hostel reserves the right to amend prices and terms without prior notice; however, such amendments shall not apply to reservations already confirmed.

Payment may be made using approved credit cards and payment methods. Corporate agreements or invoicing require prior approval. Interest and reminder fees will be charged in the event of late payment in accordance with the Danish Interest Act (Renteloven).

Changes to dates, number of persons, or additional services may result in price adjustments – and in certain cases cancellation of the booking. Any price reductions resulting from changes will not be refunded.

Please note that certain offers cannot be cancelled, refunded, or amended.

Credit Card Fees

A credit card surcharge may apply when payment is made using certain corporate or foreign credit cards.

Check-in and Check-out

The room and/or bed is at your disposal from 3:00 p.m. on the arrival date until 11:00 a.m. on the departure date. Failure to comply with the check-out time entitles the Hostel to charge for an additional night at the applicable daily rate.

Valid photo identification must be presented at check-in, and the details must correspond with the name stated in the reservation.

If check-in does not take place on the arrival date, the right to the remaining nights of the reservation shall lapse. If you wish to make use of the reservation after the original arrival date, you must contact the Hostel in writing (by e-mail) or by telephone no later than on the original check-in date. This applies to all reservation types.

Only the allocated bed or reserved room may be used. Breach of this provision may result in additional charges, immediate cancellation of the stay, and full payment for the stay. No refund will be granted in such cases.

Failure to check in without prior contact with the Hostel will result in cancellation of the entire reservation without entitlement to refund or compensation.

Dormitories and Groups

When reserving beds in dormitories, the Hostel cannot guarantee that guests travelling together will be accommodated in the same room. Allocation is subject to availability and operational considerations. Guests requiring guaranteed accommodation in the same room are advised to book private rooms.

Use of Rooms

Rooms and other facilities may only be used for ordinary accommodation purposes in accordance with the purpose of the reservation.

Use of rooms or the Hostel’s facilities for commercial purposes, including – but not limited to – recording, production, or marketing of photo, video, or other media material, events, business activities, or similar activities, is prohibited without the Hostel’s prior written consent.

Any unauthorised commercial use shall constitute a material breach and may result in immediate termination of the stay without refund and liability for damages in accordance with the general principles of Danish law.

Guest Liability and the Hostel’s Rights

The guest is liable for any damage caused to the Hostel’s buildings, inventory, or other guests’ property as a result of negligence, accident, or wilful misconduct. The person in whose name the reservation is made is likewise liable for damage caused by other persons covered by the reservation.

In the event of unacceptable or disruptive behaviour – including violation of house rules, safety regulations, or generally accepted standards of conduct – the Hostel reserves the right to:

  • refuse the guest upon arrival;
  • expel the guest with immediate effect and charge the full reservation amount without refund of any amounts already paid.

The Hostel is not obliged to refund payment for interrupted stays resulting from the guest’s conduct.

Lost Property

Forgotten items will be stored for up to thirty (30) days. Shipment may be arranged subject to payment of shipping costs and handling fees. The Hostel disclaims liability for lost or forgotten property.

Mediation of Third-Party Services

The Hostel may arrange services provided by external partners. Such services are delivered and managed solely by the respective partner, who bears sole responsibility for their performance. Questions, amendments, or complaints regarding such services must be addressed directly to the partner.

Such services may be included as part of the booking – either as an add-on, as an integrated part of the room and/or bed rate, or as a separate agreement concluded via the Hostel.

Guests Under 18 Years of Age

Guests under the age of 18 are not permitted to stay in dormitories. When booking private rooms, persons under 18 years of age must be accompanied by a legal guardian. A guardian is a person with legal responsibility for the minor.

The Hostel reserves the right to cancel reservations for persons under 18 years of age without notice and without guarantee of refund.

Access to Facilities

Guest Kitchen: 

The guest kitchen is reserved for solo travellers. Groups of more than eight (8) persons may not use the kitchen. Food may not be brought to the rooms but may be consumed in designated common areas.

Gym and Next Arena: 

The gym is reserved for solo travellers. Groups of more than eight (8) persons may not use the facilities.

Groups of up to twenty (20) persons may rent access to Next Arena for a fee. Please contact reception for further information and booking.

Smoking

The Hostel is 100% non-smoking – this includes the use of e-cigarettes. Smoking is not permitted in rooms, common areas, the garden, or the rooftop terrace.

Violation will result in a fine of DKK 1,000. Breach of the Hostel’s house rules, including the smoking ban, may lead to expulsion and cancellation of the stay without refund.

Alcohol

It is not permitted to bring outside alcohol onto the Hostel’s premises, including rooms, common areas, and the rooftop terrace. Violation may result in expulsion and cancellation of the stay without refund.

Disclaimer of Liability

Each bed in dormitories is equipped with a locker which may be used free of charge. Guests may bring their own padlock or purchase one at reception.

The Hostel and Arp-Hansen Hotel Group A/S disclaim any liability for lost, misplaced, or stolen belongings – regardless of storage location. 

Force majeure

The hostel cannot be held liable for circumstances beyond the hostel’s control, including, but not limited to, war, natural disasters, pandemics, strikes or public orders. In such cases, we reserve the right to cancel or amend reservations without compensation.

Processing of Personal Data

Arp-Hansen Hotel Group processes personal data in accordance with applicable data protection legislation and the Hostel’s privacy policy, available on the website.

By making a booking, the guest accepts that the Hostel processes the submitted information for the purpose of administering the reservation and communicating in connection with the stay. Information regarding processing and the guest’s rights is set out in the Hostel’s privacy policy.

Complaints

Complaints during the stay must be submitted immediately to reception to enable the Hostel to remedy the matter. If the issue is not resolved satisfactorily, a complaint may be submitted to:

Governing Law and Jurisdiction

Any dispute arising in connection with these Terms and Conditions shall be brought before the Copenhagen City Court, unless otherwise required by mandatory consumer protection legislation.

These Terms and Conditions are available in multiple languages on our websites. In the event of discrepancies between the Danish version and other language versions, the Danish version shall prevail.
